Project Management can be pretty difficult and really time consuming. Especially if it’s not your only job and we both know that it probably isn't your only job. It still needs to be done and you have been appointed the task of “making it all happen”

That can be very stressful and can put a lot of pressure on a person. I understand that feeling all too well as I personally had to coordinate our internal office move and I work for a moving company!

Office Moving Tips

• Instead of using room numbers, number the rooms at the final destination 1, 2, 3, 4, etc… and assign the “move” numbers to each person. This makes things a lot easier when the moving company is placing items in your new office. 1, 2, 3, 4 is a lot easier to work with than names or large room numbers.

• Make sure your employees are on track. Communication is the key. Reminders of when boxes will be delivered or when they should start packing, when the movers are set to arrive, etc…. all of the details are important to keeping everyone on track with the move.

• Have a move meeting to talk and discuss various aspects of the move. This also gives your employees a chance to ask questions and get answers to some of their concerns.

• Create welcome packets for the employees for their new desks. Moving isn’t just hard on the corporation, it’s hard on the employees as well. It’s not easy to start at a new desk with new surroundings.

• Assign move teams to pack the common areas and closets. By dividing the workload, everyone packs less and it’s a lot less work for the entire company.

• Have the moving company come a couple of hours early so that they can begin laying floor and wall protection down to protect the office. Damages can cost your company a lot more than paying the moving company to come in a little early.

Project Management Advice - The questions that you should ask.

What good is project management if you have to do all of the work yourself? If you are going to hire a professional service provider to do the project management for your move, here are some key words of advice to follow:

• Get a general scope of the services they provide.

• Have them break down exactly what their responsibilities are and what yours are.

• Will they handle dealing with the property managers at both locations? Reserve elevators, etc…

• Will they help you with space planning so that you can utilize your space in the most effective way?

• Do they understand your company enough to minimize down time to your business that affects your bottom line?

• Do they understand how crew placement works to increase productivity on your move and save you money?

• Are they offering to assist you with floor plans, labeling and marking items according to where they need to go in the new location?

• Do they provide move meetings for planning in order to ensure that all employees involved in the move are on track?

• Do they offer pre-move and post-move walkthroughs of the buildings with the landlords?

• Do they have online project management websites that offer your employees hands on, current information and documents that are relevant to your move?

• Do they provide welcome packets at the new location?

Project Management Control For Large Corporate Moves

Buehler Companies will issue an initial project management report to all involved parties for the duration of the project. Quality control will be provided and measured ultimately by you the customer! We would like your feedback. Based upon your feedback, Buehler will make corrective actions to accommodate your concerns.

Buehler Companies corporate quality control process includes multiple levels of detailed supervision and training of personnel to ensure buildings and moved items are handled with the utmost care and professionalism.

An employee move package will be made available via the Buehler Companies Move Management Team. This package outlines procedures i.e. packing/labeling, plus any additional instructions deemed necessary.

A pre-inspection walk-through with building management will be performed before each phase of the project, and any previous damage noted.

The facility protection materials we will install consist of cardboard corners in high traffic areas. Wall surface will be covered with corrugated cardboard that will protect the walls from dirt and scuff marks up to 48’ in height. All finished floors, covered tile, wood or carpeting will be covered with Masonite and/or carpet mask.

Buehler Companies certified supervisors will monitor the relocation process of loading, transport, unloading and final placement of furniture and equipment. All items will be pad-wrapped and strapped into vans and transported on dollies to final destination by our trained moving crews.
